Privacy Policy

Purpose and scope

This Privacy Policy explains how Trade Base Hub collects, uses, stores, shares, protects and otherwise processes personal information in connection with its website, Whop products and access, Discord community and private deal rooms, document-development services, transaction-support services, compliance screening, enquiries and related digital services (the Services). It applies to website visitors, prospective clients, clients, principals, authorised representatives, intermediaries, consultants, service users and other persons whose information is provided to Trade Base Hub.

Information we may collect

Depending on the Services used, we may collect identification and contact details; company and professional information; account and platform identifiers; transaction and opportunity information; communications; documents supplied for preparation or review; CIS/KYC, beneficial-ownership, authorised-signatory, sanctions, PEP and reputational-screening information; payment records supplied by payment providers; and technical information such as IP address, device, browser, access logs, cookies and security events.

• Where relevant, submitted information may include identification, proof of address, corporate records, authority instruments, source-of-funds information, Proof of Funds material, banking-related records and broker or consultant genealogy.
• Do not submit online-banking passwords, PINs, security codes, private cryptographic keys or equivalent credentials.

Information about other people

If you provide personal information about another person, you represent that you are authorised or otherwise lawfully permitted to provide it for the stated purpose. Do not submit unnecessary personal data, confidential banking credentials or information unrelated to the relevant engagement.

How information is used

We may process information to provide and administer the Services; respond to enquiries; establish and manage access; prepare, review or coordinate documents; manage opportunity codes and transaction workflows; conduct identity, authority, ownership, sanctions, PEP, fraud, reputational and other risk screening; protect the Platform; investigate disputes or suspected misuse; maintain business and compliance records; enforce agreements; process payments through third-party providers; communicate service or policy changes; and comply with applicable legal obligations.

Lawful basis

Where data-protection law requires a lawful basis, processing may rely on performance of or steps toward a contract, legal obligations, legitimate interests in operating and protecting the Services and assessing transaction risk, consent where appropriate, or the establishment, exercise or defence of legal claims. The applicable basis depends on the information, purpose and jurisdiction.

Compliance and screening

Trade Base Hub may check information against public records, sanctions lists, PEP information, corporate registries, adverse-media sources, fraud indicators, information supplied by counterparties and specialist verification providers. Screening is a risk-management process and is not a guarantee that any person, document, asset, payment or transaction is genuine, lawful, solvent or suitable.

• We may request additional information, decline to process documents, restrict access, suspend an engagement or terminate access where information is incomplete, inconsistent, unverifiable, misleading or presents material risk.

Sharing and disclosure

Information may be disclosed on a need-to-know basis to authorised Trade Base Hub personnel and service providers; professional advisers; payment, hosting, communications, identity-verification and security providers; Whop or Discord; and relevant principals or counterparties where authorised or reasonably necessary for the engagement. We may also disclose information where reasonably necessary to comply with law, protect rights or safety, investigate suspected fraud or misconduct, enforce agreements or establish, exercise or defend legal claims. Trade Base Hub does not sell personal information.

International processing

Because Trade Base Hub operates online and may work with parties in multiple jurisdictions, information may be accessed, transferred or processed outside the country in which it was collected. Where applicable law requires safeguards, Trade Base Hub will use safeguards reasonably appropriate to the circumstances.

Data retention

Information is retained only for as long as reasonably necessary for the relevant service, transaction, compliance, security, dispute, accounting, contractual or legal purpose. Records may be retained after an engagement ends to demonstrate compliance, respond to disputes, prevent fraud or circumvention, enforce agreements or meet legal obligations. Information no longer reasonably required may be deleted, anonymised or securely archived, subject to backup cycles and legal retention duties.

Security

Trade Base Hub uses reasonable administrative, organisational and technical measures appropriate to the information and Services. Access to confidential transaction information should be limited to persons with a legitimate need to know. No internet, cloud, email, messaging or storage system can be guaranteed completely secure, and users remain responsible for securing their devices, accounts, credentials and communications.

Whop, Discord and other third-party services

Third-party platforms may process information under their own terms and privacy practices. Trade Base Hub does not control and is not responsible for their independent processing. Review the applicable provider terms before using those services.

Cookies and analytics

The public website automatically loads Google Analytics for limited measurement of page views and selected link interactions, with analytics and advertising storage set to denied. The website does not enable analytics cookies, advertising personalisation or Google Signals, and its custom events exclude form contents and URL query strings. Google may receive cookieless measurement requests. This is not a guarantee of complete anonymity. Integrated third-party services may apply their own technologies and privacy terms. Where consent is legally required, an appropriate mechanism must be used.

Your data-protection rights

Depending on applicable law and location, you may have rights to request access, correction, deletion, restriction, objection, portability, withdrawal of consent or information about processing. These rights are not absolute and may be limited by contractual, legal, compliance, security, fraud-prevention, retention or legal-claims requirements. Send requests to admin@tradebasehub.net; reasonable identity verification may be required.

Children

The Services are intended for adults engaged in commercial or professional activities and are not directed to persons under 18. Trade Base Hub does not knowingly solicit personal information from children.

Accuracy and user responsibility

Users are responsible for ensuring submitted information is accurate, current, relevant and lawfully provided. Trade Base Hub may rely on submitted information for administrative and screening purposes but does not warrant or independently certify its accuracy unless expressly stated in writing.

Data incidents

If Trade Base Hub becomes aware of a personal-data incident, it will assess the circumstances and take reasonable containment, remediation, documentation and notification steps required by applicable law. This is not a guarantee that unauthorised access or loss can never occur.

Changes to this policy

Trade Base Hub may update this Policy to reflect changes in the Services, technology, risk controls or applicable requirements. The current version will be published with its effective date, and material changes may be communicated through the website or relevant platform where appropriate.

Contact and governing framework

Privacy enquiries and data-rights requests should be sent to admin@tradebasehub.net. This Policy operates with the Trade Base Hub Terms of Service and does not restrict any right or obligation that cannot lawfully be restricted. Where mandatory data-protection law applies, that law prevails to the extent required.

This policy is a commercial risk-management document for Trade Base Hub and does not constitute legal advice. Mandatory law may apply differently according to the location of Trade Base Hub, the user, the service and the transaction. Nothing in this policy excludes or limits rights, duties or liabilities that cannot lawfully be excluded or limited.
